WhatsApp is perfect for saying hello. Much less so for approving a mockup, finding a logo sent three weeks ago or knowing which version is the right one. Here's how to take back control without upsetting your clients.
The problem: everything in one place, so nowhere
In a WhatsApp chat, personal messages, project feedback, files and payments all get mixed up. The result:
- low-resolution files, lost in the thread;
- vague approvals ("ok" to which message?);
- a client who doesn't know where their project stands, and keeps asking.
One place per topic
Keep WhatsApp for the human connection, and give each topic its own place:

Set the rule from the start
The best moment is the kickoff. One sentence is enough:
"So that nothing gets lost, all the follow-up on your project happens in your portal: you'll see the steps, the files and the documents there. I'll let you know every time there's something new."
Update them before they ask
"How's it going?" almost always comes from silence. Approve each finished step and upload deliverables as you go: your client gets a notification, sees the progress percentage, and no longer needs to ask.
